Privacy Policy

Effective Date: 01/07/25

Last Updated: 14 October 2026

At Photos.io, we are committed to protecting your privacy and ensuring your data is handled securely and transparently.

1. What Information We Collect

We collect and store only the minimum data required to operate our service:

  • Account and guest details, including names, email addresses when supplied, account or guest identifiers, and event membership.
  • Event details, uploaded photos, upload ownership, and guest interactions.
  • Numerical face representations derived from uploaded event photos to group similar faces and support face search within an event.
  • Basic metadata related to browser type, IP address, and usage (for analytics and security purposes).

Photos may contain personal or sensitive information. Face representations used for matching may be considered biometric information. We process this information to provide photo grouping and search within the event.

If you choose selfie search, your selfie is sent to our face-processing service to find matching event photos. The search selfie and its face representation are processed transiently and are not stored as event photos or saved face records.

2. How We Use Your Data

Your data is used to:

  • Display and share event photos with attendees.
  • Provide accounts, guest access, event management, upload allowances, and the service.
  • Group similar faces and find matching photos within the selected event.
  • Monitor platform usage to improve performance and security.

We do not sell or monetise user data.

3. Data Sharing

We do not share user data with third parties, except:

  • With the event host and other people who have access to the event, so they can view its shared photos.
  • With service providers necessary to operate the platform, including hosting, storage, face processing, and analytics where enabled.
  • Where required by law.

4. Cookies

We may use cookies to enhance your browsing experience and collect usage statistics. You can disable cookies via your browser settings.

5. Data Security

We take appropriate steps to safeguard your data using secure hosting and industry-standard encryption methods. However, no system is 100% secure.

6. Data Retention

Uploaded photos, event details, and face information derived from event photos may be retained while the event data is held or as needed for operational purposes. Search selfies and their face representations are processed transiently as described above.

You can delete your account in the Photos.io app. Users can request access to, correction of, or deletion of their data, including face information, by contacting support@photos.io. Event hosts can manage photos through the event controls.

7. Your Rights

As an Australian-based platform, you have the right to:

  • Request access to any personal data we may hold.
  • Request correction or deletion of your data.
  • Lodge a complaint with a regulatory authority if you believe your privacy rights have been violated.

8. Updates to This Policy
